- Leads are accessible to Virtual Assistants for working by
- Forwarding the leads to the VA’s eMail
- Setting up the agent’s email account in the VA’s email program
- Remote Access
- Direct Login to the Lead Generator(s)
- A collective Database
- Leads are worked by status of the prospect (Buyer, Seller, Investor)
- An initial eMail response is sent out to the prospective Buyer/Seller
- This eMail is an introduction to the agent
- The lead is worked from here based again on the urgency of the lead (timeframe)
- At the agents discretion, the lead will be set-up on an Action Plan
- The action plan will include cold calls, follow-up emails, & drip campaigns
- Lead responses will be documented
- Leads will be removed per the request of the prospect
- Leads will be forwarded to agent as URGENT – ATTENTION NEEDED if requesting information or asking questions that can not be handled by a VA
- At the agents discretion, the lead will be set-up on an Action Plan
- If the agent is not utilizing a collective database for lead purpose, a spreadsheet will be created

- Date Initial eMail was sent
- Date of Cold Call with detailed information on conversation

- Periodically, agents should take the opportunity to send a Mass eMail to all leads
- Mass eMails can be a Market Update, Flyer of Featured Properties or Just Sold Properties
Note – Cold Calls are at Request Only. They will require long distance due to being long distance and Cold Calls offer limited information due to what’s acceptable for a VA to do. Please inquire for further information.
I am looking for a virtual assistant leads manager to handle all of my long-term leads for both buyers & sellers (mostly buyers). I would want the leads maintained, tracked and notated in my real pro systems and using its incubation system. The leads tracked would be from any source for me or my buyer agents and the key for me is I may have warmer leads, such as referrals, and I would want them to have a “Customer Service” person (the VA) to communicate with on basic questions. I dont’ know if this is feasible for someone out of my market of Las Vegas, let me know your thoughts on if you can assist. Thanks.
